Dear Members:
We have been receiving email requesting meeting minutes. Just to let all know, the website has all meeting minutes uploaded for Board and Membership Meetings that have been approved.
Aug 19 BOD meeting was cancelled based on no quorum of Directors.
The September 16 meeting was brief to cover Town Hall recap. The Minutes will be reviewed at the October Board Meeting. Membership Meeting for Town Hall on Sept minutes will be reviewed at the October BOD.
- All Meeting Minutes are finalized as soon as possible after the scheduled meeting. As soon as possible is when the secretary or other officer has some time to complete the notes of the meeting. Then the Minutes are reviewed by the Directors for discussion of validity and approval before posting to the website. Once released for posting, the minutes are uploaded to the Association Google Drive, and the Website Technician will link and post to our website.
- Meetings are presented via Google Meets and open to membership for your instant knowledge of current events. The meetings are listed on the calendar with log information for access.
- The website Tech is used with minimal time needed to keep the site updated. We pay them for time needed, not on call 24/7 to keep our cost low.
- The Officers and Directors are all volunteers with full-time jobs. The information generally needed for membership needs is posted on the website for convenient and timely responses.
- Information needed should be emailed to BOARD@RORVP.org for documentation filing to our Association Corporation Records.
- The RORVP Online office hours are:
Monday-Wednesday 9 am – 2 pm
Thursday closed for Accounting Activities
Friday Closed
Saturday 9 am – noon
Sunday Closed
The operation hours were established to provide for member needs that are routine and to ensure Volunteer Leadership has time for their own lives. You can email or leave a voicemail to address your issue. We will respond appropriately with consideration to overall management of the Association business. Should you feel these hours are not enough for Association needs, please consider Volunteering or Running for Office in the next election. The Annual Membership meeting is scheduled Mar 6.
To meet the needs of the membership, communication methods have increased. We have a Monthly Newsletter, Monthly President’s “How Goes It” and periodic emails as needed based on the Park activities. The RORVP calendar has scheduled training days, BOD meeting days, Building Paperwork Submission reminder days, and as the different committees’ activities the meeting days will be posted on the calendar. Members have been offered a shopping cart for meetings they wish to be involved with via the calendar. The establishment of meetings listed on the calendar was to support numerous owners stating we communicate too much. Now members can choose what communication they wish to be involved in by the calendar scheduling of activities.
The Association is doing well with moving forward as self-managed. In 2026, I am recommending the Board Meeting shift to Quarterly. Exceptions will be an ad hoc meeting for priority needs of the business.
In closing, an especially important reminder. Private membership emails are NOT shared VIA this RORVP Condo Association Leadership Team. If you are using someone’s private email, you are responsible for sharing information with others. It is a breach of Confidentiality to use a person’s information without their approval.
The Association will not forward your personal email to the owners; it is our responsibility to maintain confidentiality of all owners.
If you have an email address of another member you received from prior transmission or RORVP Files, the advice of the Association Legal Team is to delete the information. You should have the approval from the person you are emailing to use or share their private contact information.
